Quick answer
Before booking packers and movers in Madurai, ask who will issue the invoice, how the quote was calculated, exactly what is included, which events can change the price, who packs and transports the goods, whether the load is shared, what delivery window applies, how loss or damage is handled, what payment stages apply, and what happens if either side reschedules. Get the final answers in writing.
The value of a question is not the question itself. It is whether the answer becomes specific, consistent and usable on moving day.
How to use this list without turning the call into an interrogation
Send your inventory and access details first. Then ask questions in six short groups: identity, survey, scope, transport, risk and payment. Mark the reply as clear, conditional, missing or contradictory. Give the mover a chance to clarify ordinary gaps.
Do not ask every question when it plainly does not apply. A student moving six cartons does not need a server-shutdown plan. A three-bedroom intercity household should not accept the same five-minute phone estimate as a suitcase move.
After the conversation, request one revised quotation or confirmation that incorporates the material answers. Scattered voice notes are difficult to compare.
1. What exact business will take my booking?
Ask for the trading name, legal or billing name, address, main phone, email and the person responsible for your move. Ask which entity will issue the invoice or receipt and which beneficiary name will appear during payment.
A useful answer: identifies the relationship between trade and legal names and matches the quotation.
Follow up when: the quote, invoice promise, GSTIN and bank beneficiary point to different parties without explanation.
This question is about contract clarity. Independently verify the supplied details before payment rather than treating the answer itself as proof.
2. Have you seen my full inventory and both access points?
Ask whether the price is based on an on-site survey, video survey, photographs or only a verbal list. Confirm bulky items, carton estimate, fragile goods, dismantling and owner-packed items. Give the origin and destination floor, lift, stair, parking and door-to-vehicle distance.
A useful answer: names the inventory version and access assumptions used.
Follow up when: an exact “final” price is offered before the mover asks about quantity or access.
If the destination is not known, ask how unknown access will be priced rather than demanding false certainty.
3. Is this estimate, fixed scope or rate-based quotation?
Those labels can mean different things, so ask what amount can change and under which written rule. A quote may be fixed for the listed inventory but variable for extra items, waiting or a new floor. That can be reasonable if the trigger and rate are clear.
Ask: “If my inventory and access stay exactly as stated, what can still change this total?” The reply should address taxes, packing upgrades, extra labour, vehicle changes, tolls, storage, insurance or risk charges and destination services as applicable.
Do not compare “₹X total” with “₹Y plus tax and destination labour” as though they cover the same job.
4. What is included—and what is explicitly excluded?
Read the service as separate stages:
| Stage | Questions to settle |
|---|---|
| Preparation | Survey, inventory, carton estimate, technician work |
| Packing | Materials, fragile handling, labels, owner-packed cartons |
| Dismantling | Furniture, appliances, fittings and excluded work |
| Loading | Labour, lift/stairs, long carry, shuttle vehicle |
| Transport | vehicle model, dedicated/shared load, route and transfer |
| Unloading | floor/access assumptions, package count |
| Unpacking | carton opening, debris removal, placement limits |
| Reassembly | which items and whether a technician is required |
Ask the mover to mark exclusions. “Complete shifting” is marketing language until the individual tasks are defined.
5. Which packing materials will be used for my items?
Do not demand a universal material quantity before a survey. Ask which items receive cartons, bubble or foam protection, blankets, corrugated sheets, stretch film, edge guards or crating. Ask whether the material is new, reusable or chargeable by consumption where relevant.
For a television, mirror, marble top, glass cabinet, artwork or musical instrument, ask for the item-specific method. For clothes and books, ask about carton size and weight discipline. For a refrigerator or washing machine, ask who prepares, drains and reconnects it.
Weak answer: “international quality packing for everything.”
Better answer: a practical method tied to the surveyed item, plus any limit or specialist requirement.
6. What will you not pack or transport?
Request the prohibited and restricted-item list for the exact service and route. Ask about LPG, fuel, paint, chemicals, aerosols, plants, food, liquids, batteries, medicines, jewellery, cash, documents and pets.
Then ask whether any accepted items are excluded from risk cover or require special packing. This prevents the common misunderstanding that “the crew packed it” automatically means “the item was accepted under every contract and policy.”
Keep valuables, originals, essential medicine and personal travel items outside the household load.
7. Who supplies the crew, vehicle and destination service?
Ask whether the booking company uses its own team, hired labour, a transport partner or a destination agent. Partnership or subcontracting is not automatically poor practice; undisclosed custody is the problem.
Request one coordinator for pickup and one escalation contact. Ask when the vehicle number and driver details will be assigned. If another team delivers, ask how your inventory and special instructions transfer to them.
For local moves, confirm whether the same crew handles both ends. For intercity moves, confirm who is responsible after the truck leaves Madurai.
8. Is the load dedicated or shared?
A dedicated vehicle normally carries one customer’s consignment for the agreed movement. A shared or consolidated load can combine consignments and may involve a broader delivery window or transfer. Neither option is universally best.
Ask whether goods can be unloaded and reloaded en route, how cartons are separated, how package counts are checked and what happens if the load waits for consolidation. Ask whether the quoted price assumes one model and whether changing it requires approval.
Choose based on load size, budget, handling sensitivity and delivery constraints rather than a vague claim that one model is always safer or faster.
9. What pickup and delivery windows are realistic?
Separate crew arrival from completion time. For pickup, ask for an arrival window and estimated work duration. For intercity delivery, ask whether the stated date is an estimate, range or contractual commitment and what conditions can affect it.
Ask how updates are provided and who calls before arrival. If an apartment, office or landlord limits access, provide that window in writing. Do not assume a driver can wait indefinitely or arrive at an exact hour after a long journey.
Build personal travel around a reasonable buffer, especially for shared loads.
10. What can create an extra charge?
Ask about:
- inventory additions or underestimated cartons;
- stairs, non-working lift or long carry;
- parking restrictions or a smaller shuttle vehicle;
- waiting caused by keys, access or paperwork;
- special packing or crating;
- dismantling/reassembly beyond the survey;
- extra pickup or delivery stop;
- storage, redelivery or failed delivery;
- taxes, transit cover, tolls or permits where applicable;
- date, route or service-model change.
For each applicable trigger, ask for a rate or calculation method and who must approve it. A complete quote need not predict every event, but it should not leave the mover unrestricted after loading.
11. How are taxes shown and who issues the invoice?
Ask whether the displayed total includes tax and what service description will appear on the invoice. If GST is charged, ask for the GSTIN and verify it on the official portal. Confirm that the billing entity matches the registration details and payment/receipt path.
Do not demand a particular GST rate based on an unrelated online article; tax treatment can depend on the supplied service and facts. Ask for an itemised compliant invoice and obtain tax advice if the treatment matters to a business or reimbursement claim.
For government or corporate moves, check the employer’s required documents before booking.
12. What protection applies to loss or damage?
Ask whether there is an insurer-issued transit policy, certificate under a policy, carrier liability or only the mover’s written service terms. Request the insurer name, sum insured or declared value, covered route and period, exclusions, excess and claim process.
Then ask separately about damage during packing, dismantling, loading, unloading and reassembly. Transit cover may not answer every service-stage problem.
Never accept “100% covered” without documents. No mover can promise that an insurer will approve a future claim.
13. How should I document condition and inventory?
Ask whether the mover provides an itemised inventory, carton labels and a package count. Clarify whether high-value items can be photographed and noted separately. Ask how pre-existing marks are recorded and whether the crew signs or acknowledges the list.
Your own evidence should include dated photos, serial/model labels where useful, a working video for electronics, carton numbering and a copy of the handover record. Avoid recording workers’ private information unnecessarily; focus on goods and transaction evidence.
At delivery, ask how shortage or visible damage should be written on the receipt.
14. What is the claim-notice process?
Ask whom to contact, which channel to use, what deadline applies, what documents are required, whether packaging must be retained and whether inspection or repair approval is needed. Ask who acknowledges the claim and provides a reference number.
A response such as “call me and I will manage” is not enough for an insurer-backed arrangement. Get the insurer or claims channel and the mover’s support role. Do not wait for an online review before sending formal notice through the stated process.
Keep the answer with the policy and delivery documents.
15. What are the payment stages?
Ask the amount and due point for booking, pickup, dispatch and delivery. Confirm accepted payment methods, beneficiary name and receipt timing. Ask whether the crew can request money and how to verify a changed instruction.
Do not share OTP, UPI PIN, card PIN or remote-screen access. To receive money, you generally do not need to enter a UPI PIN to approve a collection request. If a refund is due, confirm through the business channel you already verified.
Keep transaction IDs and receipts. Cash, if used, should receive an immediate written acknowledgement.
16. What happens if I reschedule or cancel?
Ask how much notice is required, what fee or deduction applies, whether an advance is refundable, how a new date is allocated and what happens if the mover reschedules. Also ask about weather, vehicle breakdown, access refusal or other events addressed by the terms.
A fair answer can contain conditions. What matters is that both sides know them before money changes hands. If your property possession or transfer order is uncertain, choose a booking arrangement that reflects that uncertainty.
17. How will last-minute inventory changes be handled?
Homes accumulate “just five more items” that become fifteen cartons, a cycle and a cupboard. Ask when the inventory freezes and how additions are priced. Send photographs and receive an updated total before the crew loads them.
Also ask what happens when items are removed. A quote may contain fixed vehicle and crew costs, so a small reduction may not create an equal price reduction. The calculation should still be explained.
Never hide items to preserve an earlier price; it weakens planning and evidence.
18. Who handles appliance and furniture technical work?
Clarify dismantling and reassembly for cots, wardrobes, modular furniture, television mounts, air-conditioners, water purifiers, geysers, washing machines and office workstations. Some tasks can be handled by movers; others require brand technicians, plumbers, electricians or carpenters.
Ask whether wall drilling, gas connections, plumbing and hard-wired electrical work are excluded. Arrange specialists and timing separately. A moving crew should not be pressured into unsafe work merely to make a package sound complete.
Photograph complicated assemblies and label fittings.
19. How is data and confidential material handled?
For office moves, ask about server shutdown, device chain of custody, labelled crates, employee records, keys and confidential files. Movers transport equipment; your organisation remains responsible for access control, backups, encryption and retention rules.
Ask which items the mover will not touch and who supervises loading and delivery. Create an asset register with serial numbers and assigned custodians. Do not place passwords, access cards and master keys inside the same shipment as the devices they protect.
For a home move, back up personal computers and carry small drives yourself.
20. What record will I receive at each milestone?
Before booking: accepted quotation and terms. At payment: receipt. At pickup: inventory/package count and consignment or handover record. At dispatch: assigned contact and vehicle information when applicable. For risk cover: policy/certificate or written service terms. At delivery: delivery record with space for remarks. After completion: final invoice where promised.
Ask when each record is issued and by whom. If documentation will appear only after full payment, understand that before booking and assess the risk.
The answer-quality scorecard
Score each question from 0 to 2.
- 0 — missing: no answer, pressure, or a contradiction.
- 1 — conditional: reasonable verbal answer but missing the promised document.
- 2 — clear: specific, written and consistent with the quote.
Weight identity/payment, total-price triggers, custody, risk terms and delivery more heavily than small conveniences. Do not turn the total into an automatic pass mark. One critical falsehood can outweigh several polished answers.
Compare two or three movers using the same inventory and questions. A provider who openly states a limitation may be easier to plan with than one who promises everything.
Copy-and-send pre-booking message
“Please confirm for my move: billing/legal name; surveyed inventory version; pickup and destination access; included packing, dismantling, loading, transport, unloading and reassembly; excluded work; shared or dedicated vehicle; realistic pickup and delivery windows; every extra-charge trigger; tax and invoice details; loss/damage document and claim process; payment stages and beneficiary; cancellation/reschedule terms; and the records I receive at pickup and delivery. Please update the quotation where needed.”
Add your addresses, dates and special items. This message is not a contract by itself; it is a compact way to reveal gaps.

Frequently asked questions
How many movers should I compare?
Two or three serious, surveyed quotations are usually more useful than ten phone totals. Give each candidate the same inventory and access facts.
What is the first question to ask?
Ask who is taking the booking and issuing the invoice. Identity clarity makes every later document easier to verify.
Should I ask for the lowest final price?
Ask for the price tied to a defined scope and change rules. A low number with missing work is not a final price.
Is an on-site survey necessary?
Not for every small move. A complete video survey can work. Larger, fragile or access-heavy jobs benefit from closer inspection.
Should the mover guarantee no damage?
No careful service can honestly remove all risk. Ask about packing, handling, documentation, liability and claims rather than a zero-damage promise.
What should I ask about a shared load?
Ask about identification, trans-shipment, temporary holding, handling count, package reconciliation and delivery window.
Can I negotiate after asking these questions?
Yes, but negotiate scope and price together. Removing packing or choosing a shared load changes the service, not just the number.
What if the mover refuses to answer in writing?
Clarify whether it is a minor operational detail or a material term. Do not book while price, identity, custody, payment or risk terms remain verbal and uncertain.
Do I need to ask every question for a local shift?
No. Use the parts that apply, but always cover identity, inventory, access, scope, total-price triggers, payment and damage handling.
When should I stop asking and decide?
When the material answers are documented, consistent and suitable for your move. More questions do not compensate for an unresolved critical mismatch.
